Our Approach

All critical equipment, including high-value and frequently used items, were tagged with passive RFID tags. Each tag had a unique identifier linked to the equipment’s information within the Asset Management System, including maintenance history and current location.

RFID readers were strategically installed throughout the facility to enable real-time tracking. These were positioned in storage rooms, high-traffic areas, and points of care where equipment was often needed.

An online dashboard provided a real-time overview of equipment locations, allowing staff to access up-to-date information on availability and location. The system was configured to send push notifications when equipment was moved outside of designated zones, alerting staff to unauthorised movement or potential misplacement.

A high-level training programme was introduced to ensure staff could effectively use the system, including logging into the dashboard, locating equipment, and maintaining accurate records.

Workflows were also introduced to ensure staff checked equipment in and out when moving it, creating a culture of accountability.

The Result

The RFID system reduced the time staff spent searching for equipment by 20%, allowing caregivers to spend more time on direct patient care.

There was a 30% decrease in lost or misplaced equipment, resulting in significant cost savings.

Alerts helped highlight scheduled maintenance and inspection deadlines, ensuring compliance with regulations.

The online dashboard also provided valuable data for resource allocation, while equipment and stock usage became more streamlined.
